Community Event Promotion – Submission Guidelines

Hudson Valley Style Magazine is thrilled to support community events and serve as a media sponsor for approved Community Partners in the Hudson Valley, Catskills and Hamptons. We accept up to two event promotion submissions per month from our approved Community Partners. To ensure your event is considered for promotion, please follow the guidelines below:

Media Sponsorship Requirements:

List Hudson Valley Style Magazine as your Media Sponsor.
Display HVSM logo on your event’s website, posters, collateral, and marketing materials, including email newsletters (download the logo here).
Include a direct link to hudsonvalleystylemagazine.com in all digital promotions.

Submission Package Requirements:

Event Details:
- Event Name and Date
- Event Description and Location
Links:
- Link to Event/Organizer’s Website
- Link to Book Tickets (e.g., Eventbrite)
Event Flyer/Poster:
- Provide 1 professionally designed event flyer/poster in a vertical format.
- Image file must be resized and formatted according to our General Photography Guidelines.
Photographs:
- Provide 3-5 professional, high-quality photographs.
- Photographs must be resized and formatted according to our General Photography Guidelines.

Submission Don’ts:

To ensure a smooth and efficient submission process, please adhere to the following guidelines:

Do not send incomplete submission packages.
Do not send last minute submissions, it could take up to 2 weeks to review/publish the promo.
Do not send an event description longer than 5 paragraphs.
Do not send us PDFs, Word documents, or any other file formats other than JPG.
Do not send JPG files over 500KB.
Do not send press releases.
Do not send us Google Drive, Dropbox or similar links. Attach properly formatted JPG images to your email.
Do not send more than 7 images.
Do not send amateur photographs or poorly designed flyers and event posters.
